What a business IT maintenance contract actually covers
Most companies that call us do not have a one-off problem: they have IT that nobody checks until it breaks. This is how we organise maintenance so that stops happening.
What we check and how often
Before signing anything we inventory the estate: workstations, servers, network, licences, backups and who uses what. Without an inventory there is no maintenance, only reactions.
From there we set a schedule. For a company with 10 to 100 seats that usually means continuous remote monitoring plus a monthly or quarterly on-site visit.
- Disk, memory and temperature health on workstations and servers
- Operating system and critical application updates
- Real backup verification, including a test restore
- Antivirus, firewall and remote access
- Network, switches, wifi and line saturation
What the contract includes and what it does not
The contract covers work: unlimited remote support during business hours, planned visits, incident handling and systems administration. It does not cover hardware, new licences or large projects, which are quoted separately.
We state this up front because most disputes with an IT provider come from never writing down where the monthly fee ends.
How we measure the service
Every incident is logged with arrival time, first response and closing time. At month end the client gets a report with incidents, recurring causes and proposed preventive actions.
That report is what lets a company move from firefighting to deciding where next year’s IT budget should go.
When outsourcing pays off
Below roughly 8 to 10 seats a maintenance contract is cheaper than any in-house alternative. Between 30 and 150 seats a mixed model usually works best.
If you already have an internal team, we add surge capacity and out-of-hours cover rather than replacing anyone.
