Why the office Wi-Fi is slow, and how to actually fix it
When office Wi-Fi is slow, it is almost never the internet provider’s fault. The usual culprit is a combination of poorly placed access points, congested channels, walls that were never on the plan and more connected devices than the network was designed for. It is fixed by measuring and redesigning the network, not by buying a "more powerful" router.
The most common causes (and how to spot them)
In most offices we review, we find several of these causes at once. None of them is exotic: they are all the legacy of networks that grew without a design:
- A single router for the whole floor: signal reaches the corners and meeting rooms weakly
- Congested channels: in an office building, your neighbours’ networks sit on your frequency
- Interference from microwaves, lifts or the building’s own installations
- Access points placed by eye, never measured, or inherited from previous refurbishments
- Very old devices still connected, slowing the whole network down
- A guest network that is not separated: visitors share bandwidth with business systems
The site survey: measure before buying equipment
The first step is not to install anything, it is to measure. A coverage survey on the floor plan, followed by an on-site verification, tells you how many access points you need, where, and at what power. That is the difference between a network that works and a network that works in the room where the router happened to be on test day.
The survey also justifies the budget: when you can see the actual coverage map before and after, the conversation stops being about opinions and becomes about data.
What changes when the network is properly designed
A well-built business network is not just "Wi-Fi that reaches further". Three things change, and you notice them daily: roaming, so a video call does not drop when you move between zones; density, so a meeting with twenty laptops and just as many phones holds up; and a properly separated guest network, with a captive portal and its own VLAN, so visitors never touch the corporate network.
And when the company has several sites, everything is managed from a single panel: the same policies everywhere, and monitoring that flags congestion and outages before users notice.
Sometimes the problem is the cable, not the Wi-Fi
Every access point depends on a cable. If that cable is of an insufficient category, or the access point shares a switch with half the office, the best antenna in the world will not fix the bottleneck. When we look into slow Wi-Fi, we also check the cabling feeding it and the rack where it terminates.
It is quite common to find that the solution is a fibre backbone or a managed switch before it is a single extra access point.
